CAP Agency seeks an Account Coordinator to manage and participate in sales and sales activities for assigned product(s) or book(s) of business. Assists management in identifying and implementing best practices for insurance sales, marketing, and client services. Performs administrative functions to support the general business unit’s overall requirements and goals.
Essential Duties and Responsibilities:
- Provide customer service by assisting the Sr. Account Executive and Account Executive in the initial processing of new and existing business including: follow up calls, members invoicing, answering phone calls from members.
- Handle policyholder service requests, e.g., billing, coverage, claims, cancellations, policy changes, change of address, and related service issues as appropriate.
- Assist Sr. Account Executive and Account Executive in the sales process for designated disability and life products.
- Enter and maintain up-to-date client and policy information using agency management system. Support other agency management system upgrades, protocols, training, and implementation.
- Coordinate correspondence and follow-up for pending individual disability and life products.
- Support all marketing campaigns acting as initial contact person to facilitate customer requests.
- Continually conduct cross selling activities and establish other product line expiration dates. Set up appropriate diaries in the agency management system.
- Solicit feedback from customers regarding satisfaction with agency products and services.
- Provide backup to Operations Specialist as needed.

Schmid & Voiles seeks a Legal Secretary for its LA office to perform diverse secretarial duties in support of the Legal Department.
Essential Duties and Responsibilities:
- Provide legal secretarial support on either short or long term assignments
- Answer and screen telephone calls
- Schedule meetings with clients, experts, attorneys and co-counsel and schedule court appearances
- Contact clients to obtain desired information as requested by attorneys
- Maintain attorney(s) calendar book and tickler system
- Review and re-index mail in OnBase for review and action by attorney and calendaring of same
- Compose correspondence and memos to request or provide information
- Transcribe dictation and/or type from handwritten material or rough draft copy, including correspondence relating to litigation (pleadings, court forms, reports, summaries, releases, etc.)
- Maintain electronic confidential legal files and ensure that each file is organized and documented regarding activity

Responsible for conducting legal research and drafting motions, pleadings on firm litigated matters. Provide advice and assistance to attorneys through all phases of litigation including cost effective motions for early dismissal, trial, and post-trial motions. An experienced legal draftsperson with highly developed legal writing skills and an in-depth knowledge of the courts as it applies to motion practice related to medical malpractice defense.

CAP seeks a Senior Claims Specialist, for its Orange County office, to perform technical and administrative duties to manage assigned claim files; assumes increased workload of highly complex claims. Participates in the continued training and supervision of Claims Specialist I and II’s.
Essential Duties and Responsibilities:
- Manage medical malpractice claims, including the assignment, direction and control of defense counsel, under supervision and in compliance with the Claims Technical Manual, the Defense Attorney Guidelines, and the MPT Agreement. Manage increasingly complex cases with larger financial exposure.
- Investigate and evaluate claim files including complying with the standards of performance, interviewing members, reviewing medical records, corresponding with plaintiff attorneys, obtaining preliminary expert evaluation/opinions, and preparing interview summaries.
- Prepare case evaluation reports for publication and presentation to the CRC and CSC.
- Prepare case evaluation reports for discretionary authority on selected cases
- Manage and participate in all litigation activity, including discovery plan, mediation, MSC, and negotiation under supervision, as necessary.
- Monitor trials and arbitrations including daily progress reports, providing member and defense attorney with support.
- Prepare claim file resolution documentation.
- Timely update the claims database.
- Document all important case developments under the chronology tab.
- Code the claims file and update as relevant information is available
- Timely review and index documents to the On Base system.

CAP’s dedicated law firm, Schmid & Voiles, seeks a Paralegal for its Walnut Creek office to perform all duties related to preparation for and assistance in working a case up to trial; from pretrial, trial and post-trial activities, including but not limited to focusing on technology as well as conducting extensive research and document preparation.
Essential Duties and Responsibilities:
- Summarize depositions, medical records, employment records, interrogatory responses, and prepare production of document requests
- Draft objections; requests and responses; review and analysis of evidentiary items for trial; manage documents from formal discovery to present at time of trial
- Familiar with discovery methods and scope of discovery, with emphasis on ethical considerations involved in the discovery process.
- Prepare, troubleshoot, and assist with all technological aspects of demonstrative evidence for trials, including but not limited to software and equipment
- E-files in state courts
- Calendar court dates
- Travel to and from court or arbitration/trial to assist attorney and provide set up for demonstrative evidence and technology
- Create exhibits and other visual trial presentations as requested. Set up audio/visual equipment for court/arbitration hearings
- Assist attorneys in all aspects of trial preparation, including abstracting depositions and transcripts, draft motions, prepare trial notebooks and briefs
- Assist with the drafting of discovery pleadings and cost bills
- Assist with research and analysis of statute and case law
