Legal Secretary III (OC)

Schmid & Voiles, the dedicated law firm for the Cooperative of American Physicians, Inc. seeks a Legal Secretary to performs diverse secretarial duties in support of the Legal Department, in Orange County.

Essential Duties and Responsibilities:

  • Maintain attorney(s) calendar book and tickler system
  • Schedule meetings with clients, experts, attorneys and co-counsel and schedule court appearances
  • Review and re-index mail in OnBase for review and action by attorney and calendaring of same
  • Compose correspondence and memos to request or provide information
  • Contact clients to obtain desired information as requested by attorneys
  • Maintain electronic confidential legal files and ensure that each file is organized and documented regarding activity
  • Prepare discovery, pre-trial and trial documents for filing with court
  • Schedule, calendars and coordinate all aspects of discovery initiated by plaintiff(s) and defendant(s)
  • Provide legal secretarial support on either short or long term assignments
  • Answer and screen telephone calls
  • Transcribe dictation and/or type from handwritten material or rough draft copy, including correspondence relating to litigation (pleadings, court forms, reports, summaries, releases, etc.
  • Assist and provide back up for other secretaries
  • Maintain current knowledge of court rules
  • Perform additional tasks
  • Participate in department and company projects

Education and/or Experience:

  • High school diploma or GED
  • 7 years of defense trial, litigation experience in a similar industry
  • 3 years recent California Civil litigation experience
  • Trial preparation experience a must

Other Skills and Abilities:

  • Good organization and communication skills
  • Thorough knowledge of court procedures
  • Strong initiative and ability to work independently
  • Computer literate –proficient in MS Word; knowledge of case management software; type 70+ wpm

Salary Range: $75,000 - $92,000/year

Technical Writer/Quality Assurance & Business Analyst

This is a hybrid position that encompasses three disciplines, Technical Writing, Quality Analysis (QA) and Business Analysis. Works in collaboration with departments and programming to provide automation ideas to improve work product. Technical writing to produce expert documentation; QA to test products, systems, and software to ensure complete efficiency at the highest standards; and Business analysis defining configuration specifications to meet business requirements.

Essential Duties and Responsibilities:

Technical Writer

  • Working closely with internal teams, create high quality documentation that is appropriate for the intended audience, including clear specifications on all development projects
  • Create easy-to-understand user interface text, as well as help and developer guides

QA Analyst

  • Test products, systems, and software to ensure complete efficiency and to fulfill the quality standards of an organization.
  • Develop and execute test and Quality Control lifecycle to be performed on existing software
  • Develop and execute plans to ensure that all objectives are met.
  • Implement and monitor test scripts to assess functionality, reliability, performance and quality of the service or product.

Business Analyst

  • Define configuration specifications and business analysis requirements.
  • Help design, document, and maintain system processes.
  • Report on common sources of technical issues or questions and make recommendations to development team.
  • Constantly research and look for ways to improve processes utilizing existing and new technologies

Perform other responsibilities as assigned.

 

Education and/or Experience:

  • BS degree in Information Services
  • Five years’ experience in Information Technology (software analysis, design and development)
  • Or equivalent combination of education and experience      

Other Skills and Abilities:

Senior Membership Services Account Manager

Join CAP’s knowledgeable and diverse Membership Services department as a Sr. Membership Services Account Manager to perform customer service functions to internal and external customers via telephone and electronic means including, but not limited to, email and Microsoft Teams application.

 

Essential Duties and Responsibilities:

Provide service to MPT members, groups, and CAPAssurance Insureds and brokers:

  • Retention of solo member and group accounts.
  • Conduct virtual stewardship meetings with Members and/or their management staff.
  • Conduct joint stewardship meetings with key departments such as The CAP Physicians Insurance Agency, Risk Management, Human Resources, and Underwriting.
  • Provide and explain financial and claims data and supporting information to members, groups, administrators, and office managers.
  • Explain Membership and entity coverage, exclusions, and financial obligations.
  • Retention of solo member and group accounts.
  • Review and approve or decline special applications for coverage or status change requests, such as, termination of membership, disability, out-of-state, coverage limits change, and cosmetic procedures.
  • Underwrite and approve or decline coverage requests for certain employees, Other Related Physicians (ORP), and locum tenens.
  • Maintain and update members’ Special Conditions.
  • Timely respond to member inquiries.
  • Timely update of member or group CAP System records.
  • Timely review and evaluate Coverage Update Forms (CUF) with emphasize on material changes reported by members.
  • Continuously, throughout the workday, monitor OnBase workflow queues and inbox, emails, physical inboxes (for US Mail), Microsoft Teams postings and conversations.
  • Identify new business opportunities for CAPAssurance.
  • Promote and recommend additional coverage programs, CAP Benefits or the improvement of existing programs.
  • Use Salesforce customer relationship management system to manage new membership prospect inquiries from group administrators/office managers or physicians joining existing CAP practices.
  • Manage CAP Service Teams to coordinate service and retention of groups.
  • Monitor trends in the medical professional liability marketplace, medical professional underwriting and in the healthcare industry.

Miscellaneous

  • Delegate work to and assist in the training and direction of Membership Services Coordinators (Triage).
  • Recommend refinements or new programs for the CAP computer system.
  • Employee education and awareness is an important element in the company’s cybersecurity program. Accordingly, the Senior Membership Services Account Manager is responsible for being cautious and vigilant when opening emails, attachments, links, etc. on CAP’s computer equipment or when accessing the company system remotely. It is also the Senior Membership Services Account Manager’s responsibility to complete cybersecurity training modules that are periodically distributed by CAP’s IT department.
  • Perform other duties as assigned.

Education and/or Experience:

  • Bacheler’s degree
  • Five years underwriting, customer relationship management, or service experience in physician medical malpractice liability coverage
  • Active agent/broker California Property and Casualty insurance license

Other Skills and Abilities:

  • Knowledge of basic medical terminology
  • Excellent written and oral communication skills
  • Excellent organization and follow-up skills, with attention to detail
  • Excellent telephone and computer skills
  • Proficient in Microsoft Word, Excel, Outlook, and Teams.
  • Ability to travel

Salary Range: $90,000 – $110,000

File Clerk/Secretary Trainee

Performs various clerical duties in support of the Legal department, including but not limited to indexing to document management system; order records; cover legal assistant desks 

 

Essential Duties and Responsibilities:

  • Index scanned mail, documents, and email in the electronic document management system
  • Maintain integrity of electronic files
  • Provide assistance to secretaries with tracking orders for records ordering and subpoenas (SDT)
  • Maintain physical mini files
  • Provide assistance to paralegal/attorney at trial with IT equipment set-up and breakdown for visual presentations
  • Process and close files; maintain logs for storage and coordinate with Office Services 
  • Assist with and provide back up for other secretaries as requested
  • Answer and screen telephone calls
  • Perform other duties as assigned

Education and/or Experience

  • High school diploma or GED
  • 3 years prior office clerical experience - legal filing experience preferred
  • Excellent computer skills and bar code automation experience
  • 1 year data entry experience 
  • HIPAA knowledge
  • Basic IT knowledge preferred
